Prep Tasks are per-gig checklists that help you track preparation items before a performance.
Adding Tasks
- Open a gig from the Gigs Inbox and expand the detail panel
- Find the Prep Tasks section (collapsible)
- Type a task title in the "Add a task..." field
- Optionally set a due date using the date picker
- Click Add (or press Enter)
Tasks appear as a checklist with completion tracking.
Managing Tasks
- Check off — Click the checkbox to mark a task complete (strikethrough appears)
- Set/change due date — Hover over a task and click the calendar icon
- Delete — Hover and click the X button to remove a task
All changes save automatically with optimistic UI — the interface updates instantly while the server syncs in the background.
Due Date Urgency
Tasks with due dates show color-coded urgency indicators:

Completed tasks never show urgency indicators regardless of their due date.
Timeline Integration
Prep tasks integrate with the gig completeness timeline bar on the dashboard:
- A Prep milestone appears in the timeline when tasks exist
- The milestone shows progress (e.g., "Prep 2/4")
- If a task has a due date, the worst (earliest) overdue task name appears in the label
- Milestone urgency escalates based on due dates or gig proximity
Follow-Up Engine
The follow-up engine generates a "Complete Prep Tasks" action item when incomplete tasks exist on an upcoming gig. If only one task is incomplete, the follow-up uses that task's name instead of the generic label. Priority escalates as due dates approach or the gig date nears.
Common Questions
Is there a limit on tasks per gig?
Up to 50 prep tasks per gig.
Can team members see prep tasks?
No. Prep tasks are visible only to the organizer on the gig dashboard.
Do tasks carry over between gigs?
No. Each gig has its own independent task list.
